Plan the time around the performance as carefully as the performance itself.

Write a one-page brief

Start with the format: a private work-in-progress session, a filmed rehearsal or a public showing. Record the number of performers, crew and guests; the approximate running time; and the equipment you expect to use. This gives a venue enough information to tell you whether the proposal fits.

Confirm the use before the date

Permission to rent a rehearsal room does not automatically include an audience, a class or a ticketed event. Ask the operator about your exact format, the permitted capacity for that setup, access needs, equipment and any approvals they require. Build the day backwards

  1. Handover: reserve time for restoring the room and returning keys.
  2. Showing or shoot: include audience movement or camera resets, not only performance time.
  3. Technical check: test sound and any agreed equipment before the run.
  4. Arrival: allow time for access, unloading, setup and the performers’ preparation.

Assign one person to communicate with the venue and another to track the running order when the group is large enough. Make a short version of the schedule that everyone can read on a phone.

Budget beyond the room

Request a complete venue quote. Then list any equipment rental, technician time, transport, performer payments, insurance and cleaning costs relevant to your project. Keep a separate allowance for changes. An advertised hourly room rate is only one line of the production budget.

Make the audience journey explicit

For an approved showing, explain how guests enter, where they wait and when they can leave. Confirm access arrangements with the venue before describing them publicly. If recording, agree permissions and the intended use of the footage with the participants.

Close the loop

Photograph or note the agreed room setup before moving anything, where permitted. At the end, check the space with the responsible person and record outstanding issues. Keep the booking terms, final costs and lessons learned together for the next project.
